NEW LOCATION!!! The Garrett's Desert Inn, 311 Old Santa Fe Trail, is the new host property and will be “ground zero” for the Summer in Santa Fe program.
Garrett’s Desert Inn was constructed in 1956, but since 1977 the Garrett Family has endeavored to make it a charming and affordable alternative to the pricier hotels on the Plaza.
Situated directly on the Old Santa Fe Trail, we are in the heart of Santa Fe’s Historic District. We are one block from the Famous Lorretto Chapel, and just two blocks from the Plaza, or the end of the Santa Fe Trail.
New Mexico has always been rated one of the top destinations in the world. We like to think it is because of the Spanish Native American and Southwestern culture that comes to life through the beautiful mystique, culture and charm of the area.
While staying with us, you will be hosted in a full service hotel including ZE FRENCH BISTRO serving Breakfast, Lunch and Dinner, Santa Fe’s most beautiful outdoor heated pool, a Fitness Room, Laundry Room, Meeting Facilities and a staff dedicated to make your trip memorable.
Welcome! Willkommen! Bienvenidos! Na-ta-la-wamah!
How much does the hotel cost?
The cost for a single queen room is $109.00 plus tax per night; the cost for a double room (two queens) or a single king room is $119 plus tax per night. Additional people, after two, will be $10 per person per room. Children under 17 stay free when accompanied by parents.
Room rate includes parking, high-speed wireless internet access, use of the fitness center and pool as well as coffee and fruit in the lobby each morning. Other costs may apply, of course, if incurred by guest (pay-per-view movies, ancillary services, etc.). Guests will pay their own hotel account upon departure.
How do I reserve a room?
Please reserve your room by calling the hotel directly at 800-888-2145 or 505-982-1851 at least 30 days prior to arrival date and mention the University of Oklahoma Outreach group rate and dates. The hotel will extend the discounted rate of $109/night or $119/night + tax from July 28 - August 10. The cutoff date to receive this reduced rate is June 30, 2011 after which time they will release rooms from our block and the discounted rate will be subject to availability. This is a peak time for Santa Fe so we highly recommend you make your reservation early to take advantage of this special rate. We have reserved a block of rooms that we feel fits the course history of pick-up, but we cannot guarantee availability so we recommend you book as soon as you register for the class and pay the deposit.
Can I request a roommate?
Yes, but the request must be made by both parties and worked out prior to making your reservation with the hotel. In the past, University Outreach has made reservations and arranged rooming as a courtesy to our participants. Unfortunately increased security concerns with credit card and personal information prevent us from handling this portion of the logistics. The hotel is prepared to accept split room charges for those that would like to share a room and reduce the overall costs to the participant. This rate will be $59.50/night + tax.
What is the hotel cancellation policy and how do I cancel if needed?
Participants will be charged for one night room and tax unless the hotel receives notice of cancellation at least seven days prior to scheduled arrival. It is the participant’s responsibility to the hotel by calling 800-888-2145 or 505-982-1851.
How will my personal credit card information be used? The University of Oklahoma Outreach will no longer make hotel reservations or require the acquisition of your credit card information over the phone. The credit card information provided to the hotel will be used to secure the room reservation and a deposit will be charged for one night plus tax. Upon check-in, each guest will be required to present a credit card to activate use of the hotel’s ancillary services. Upon departure, guest will be required to present payment in the form they choose. The University of Oklahoma will not use your information for any purpose.
In what time zone is Santa Fe?
Santa Fe is on Mountain Time. Please adjust your watches accordingly when entering New Mexico. Compared to Oklahoma, the time in Santa Fe is one hour earlier.
How do I get to Santa Fe?
Travel to and from Santa Fe is not included in the cost of the program. Here are three popular options:
Carpooling/Driving: Over 90% of our participants drive themselves or carpool in order to take advantage of Santa Fe’s cultural and culinary offerings during their free time. The drive is approximately eight to nine hours from Norman, Oklahoma including mid-morning, mid-afternoon and lunch stops. Driving allows one to experience the geography of the region. Participants who agree to release their contact information will be placed on a list-serve for ride-sharing purposes to enable correspondence with one another. If you are driving, we suggest that you obtain a recent New Mexico map (showing a detailed inset of Santa Fe) and any other state maps you may require.
Flying: University Outreach does not advise participants on flight arrangements. Please check with your local travel agent if you plan to fly.
Van Transportation:For a nominal fee of $150, University Outreach offers a limited number of seats on vans on a first-come, first-served basis round trip from the University of Oklahoma to Santa Fe. You will be given the option of reserving your seat on a van during the registration process. The transportation fee is due with the “Santa Fe Experience” fee or noncredit enrollment balance by June 24, 2011.
Transportation in Santa Fe
One of the unique features of the Summer in Santa Fe travel program is that Santa Fe and northern New Mexico are your classroom! Classes integrate learning and the local culture through first-hand excursions to various sites (pueblos, museums, historic sites, opera, performances, historic churches, etc.). All participants are required to travel in University vans during official class activities when provided and they will depart from the parking lot of the Inn. For legal and liability reasons, University vans cannot pick-up or drop-off participants at other locations. If you have elected to stay at a different hotel or lodging site, it is your responsibility to arrive at the departure location at the specified time and get yourself back to your hotel at the end of the class period.
Although your family and friends are welcome to stay at the Garrett's Desert Inn with you if you pay for a single room, they may not ride in the vans or accompany the classes in their own vehicles. Please do not ask your instructor for special permission.
University vans are not available for personal errands. However, participants staying at the Garrett's Desert Inn will find that the hotel is two blocks off of the historic plaza and within walking distance of many shops, restaurants and historic sites.
If you are already a student in good standing, you will be registered in the credit course of your choice after you register online for the Santa Fe Experience portion of the course and pay the $150 deposit. You will receive confirmation email once you have paid the deposit at which point you are considered registered and will be charged the full amount if you do not make a request in writing to cancel your registration prior to June 24, 2011. If you have stops or holds on your OU account, you must resolve the stops before we can enroll you in your course. University Outreach does not assume any responsibility for individuals who do not resolve all enrollment issues prior to June 24, 2011, and a credit enrollment that has not been completed by that date will automatically be changed to a non-credit status.
Tuition and fees will be based on the course level (undergraduate or graduate) requested and resident or nonresident status will apply. These fees vary by student and will be added to your bursar account along with standard tuition rates. Please use the following link as a guide to determine the exact tuition rate for your course and status https://bursar.ou.edu/tuition_fees.cfm.
The “Santa Fe Experience” fee that covers the cost of course sponsored excursions, meals, entrance fees, transportation to course sponsored events etc. will need to be paid prior to June 24, 2011 and WILL NOT be added to your bursar account. The $150 deposit due at the time of registration to secure your registration will be applied to the “Santa Fe Experience” fee and deducted from the final balance due by June 24, 2011. It is mandatory fee for each participant. All included activities will be noted on course syllabus information and/or the detailed course itinerary.
If you are not a current OU student and want university credit in a Summer in Santa Fe course, you must be completely admitted no later than June 24, 2011. University Outreach does not assume any responsibility for individuals who do not obtain admission status to the University of Oklahoma by the appropriate date. If you have not been admitted by June 24, your status will automatically be changed to noncredit. Please note that the University of Oklahoma Admissions Office controls and approves all admissions. University Outreach does not approve admissions to the University of Oklahoma.
If you have not already taken steps to be admitted, you must accomplish the following:
Contact University Outreach Registration and Records at (405) 325-2240 or send an email to Gail Maucere at gmaucere@ou.edu for status of your application after submission or questions about the forms and admissions process
Obtain OFFICIAL transcripts (not copies) from previously attended institutions and submit with all other admissions forms and any other required documentation to University Outreach Registration & Records, 1700 Asp Avenue, Room B-1, Norman, OK 73072.
What should I bring to Santa Fe?
The following are general suggestions. Be sure to check your individual course syllabus and itinerary for any specific requirements.
Light-weight comfortable clothing for day; light sweater or jacket for evening (perhaps waterproof); very comfortable walking shoes (no flip-flops) for stony trails; umbrella/Rain gear
Santa Fe days are warm; Santa Fe nights are cool especially at higher altitudes; pleasant but brief afternoon rain showers are common in the mountains
Lip Balm/Sun block as needed; Water container; Full-brim hat/hat/neckerchief; Sunglasses
You are in the high desert and although it may not seem hot, the sun is deceptive—use sun block, etc. and drink lots (and lots) of water.
Camera
Well, you know, to take pictures!
Textbooks and all course supplies
Your professor will thank you
Any medications that you require
Please note on Medical Release Form
1-2 sets of business/business casual clothing
Pueblos and other cultural sites may have dress codes; please be sure to ask your individual professors for appropriate dress at the venues you will visit as listed in individual course itineraries. For example, you will need business attire clothing (or evening wear, if you prefer) for the Maria Benetiz Flamenco Dance concert or the opera, and business casual (khakis/nice shirt, no flip-flops) for Pueblo visits.
Spending money for food/souvenirs
Depending on your creature comforts, Santa Fe is a cultural Mecca for dining and shopping!
Swimming/workout gear
Pool, spa and work-out facilities at hotel
Are there any helpful hints?
Be flexible. The course itinerary may change from day to day, so it is important to stay with the group and be flexible in your daily plans. Trust your professor as he/she responds to opportunities as they present themselves.
Be prompt to all course meetings and pay attention to directions on where and when to meet. Schedules often must conform to the cultural sites that you are visiting.
Most days will be full of group activities, and you may not return to the hotel until late in the evening. Be prepared and keep all necessities with you. Carry a water bottle, a snack, money, a copy of your consent to be treated, your medical insurance card and some other form of identification with you at all times.
Wear comfortable shoes every day. You may have to walk between sites and you will want to be as comfortable as possible. However, please be sure to dress appropriately—dress codes at some sites are a necessity. Ask your professor for the appropriate dress for the sites you will be visiting.
Keep an open mind while you are traveling and experiencing the culture of the Southwest, and respect cultural differences and the traditions of the locale. Remember that, whether you realize it or not, you represent the University of Oklahoma while you are in this program. We have ongoing relationships with the establishments you will visit along with the content experts that provide educational excursions, and we expect you to show them the utmost respect and appreciation. Likewise, we would like to enjoy a long-standing relationship with our conference hotel and appreciate their willingness to accommodate our programs and facilitate the needs of each individual class. We ask that you respect the facility and their policies, as well as the conduct standards at the University of Oklahoma. Please familiarize yourself with the University of Oklahoma student conduct policy found at http://www.ou.edu/studentcode/.
Keep in touch if you relocate for the summer months. We will need to send you information on the program. If you move or change email addresses, please call our office so that we can change our records. Program updates will be sent to you via email unless you specify otherwise.
What extra costs might I encounter?
Each participant is responsible for lodging, transportation to and from Santa Fe, meals, gratuities and personal spending money. Santa Fe is a cultural Mecca for dining and shopping. You may wish to plan for these expenses. How much money you need will depend on your personal comfort level (lifestyle, how much you plan to do and buy) and as a result, we cannot offer guidelines on the amount of money you will need. If you have specific questions, feel free to contact the University Outreach Academic Programs office at (405) 325-5101.
All cancellation/refund requests, less the $150 non-refundable deposit, must be made in writing and delivered or postmarked on or before June 24, 2011 to the University Outreach Academic Programs Office, 1700 Asp Avenue, Suite 202, Norman, Oklahoma 73072-6400; by email to mrhodes@ou.edu; or fax to (405) 325-0860. There will be no refunds for cancellations after June 24, 2011, and participants who cancel after this date and have not paid their balance will be billed for it. Course viability will be determined on June 24, 2011. If a course is cancelled, participants will be given the option of enrolling in a different Summer in Santa Fe course where possible or accepting a full refund.
The University assumes no liability for expenses incurred by a student if their course is cancelled or if they are unable to complete their course once in Santa Fe. It is the student’s responsibility to check with his/her advisor to determine applicability of a course to his/her degree program. This program is offered on a self-supporting basis and fee waivers are not applicable. All tuition and fees at The University of Oklahoma are subject to changes made by the Oklahoma State Regents for Higher Education.
The University of Oklahoma reserves the right to cancel courses, limit enrollment and change instructors and course content as necessary. The College and the University provide a range of special services for those with disabilities. If you anticipate a need for some of these services, please contact (405) 325-5101. The University of Oklahoma is an equal opportunity institution.
Santa Fe is at an altitude of 7,000 feet, and some of the field trips are in higher locations. A few participants experience significant physical effects at this altitude and a few have even required medical treatment. For this and other non-life threatening medical needs, you may call a taxi, drive yourself or in the case of an emergency call 911 to take you to the local hospital emergency room. St. Vincent’s Hospital is located on St. Michael’s Street, less than 3 miles from the Garrett's Desert Inn.
Please be sure to carry a copy of your consent to be treated and your medical insurance card with you at all times. If you are unable to drive yourself or ride in a taxi, an ambulance will be called to transport you. If you have a medical condition and have not traveled to high altitudes before, please consult with your doctor before leaving for Summer in Santa Fe.
Every Summer in Santa Fe participant must have adequate health insurance coverage for illness, emergencies and accidents. If you already have a policy, check with the provider to confirm the details of coverage while you are traveling. If you do not have medical insurance or if your current company does not offer these benefits, you will need to purchase travel insurance that is specific to your needs, either as a new all-inclusive policy or as a supplement to your existing coverage. The University of Oklahoma Outreach does not endorse any specific insurance provider. The list below is a partial one and for reference only should you need it.
University Outreach staff and professors are not available to run errands for participants. If you anticipate personal needs while in Santa Fe, be sure that you can meet them on your own.
Students should interact with their professors concerning their educational needs.
Participants should discuss any concerns about the hotel with the front desk staff.
Feel free to contact any of the University Outreach personnel (staff or professors) for any other reason.
Please note that the primary function of University Outreach staff is to service the needs of the classroom educational component. These professionals have many duties accounting for the logistical needs of multiple courses and their cultural excursions.
We are ready to make your summer the experience of a lifetime!
